Scope

This Policy applies to information we collect via our website seniorcarecopilot.com forms, phone calls, texts, emails, and other interactions. It does not cover third parties we may refer you to.

What We Collect

We collect the following categories of information:

• Identifiers & Contact Info: name, email, phone, address.

• Care Context: family member’s needs, location preferences, target move date, budget range, accessibility needs, notes you provide.

• Sensitive Data (with consent): health-related information you choose to share so we can tailor referrals (e.g., memory care needs, mobility support). We process this only with your explicit consent and only to provide referral services.

• Property / Downsizing Details (if provided): property address, condition, timing, mortgage/financing notes, photos you upload.

• Usage Data: device, browser, pages visited, and similar analytics data (via cookies or similar technologies).

How We Use Information

We use information to:

• evaluate your needs and provide curated referrals to senior living communities and related professionals;

• arrange tours and follow-ups;

• send checklists, guides, and updates you request;

• operate, secure, and improve our website and services;

• comply with law and enforce our Terms.

We do not create medical records or provide healthcare treatment or billing services; we are not a HIPAA-covered entity. We safeguard any health-related details you share and use them only for referral purposes.

Sources

We collect information directly from you and your authorized representatives; from publicly available sources (e.g., state inspection portals); and from service providers (e.g., website analytics).

Sharing

We may share your information with:

• Referred Providers/Professionals you ask us to introduce (e.g., licensed senior living communities, real-estate professionals, movers). We share only what is reasonably necessary for the introduction.

• Service Providers who support our operations (e.g., hosting, analytics, communications) under contracts requiring confidentiality and limited use.

• Legal/Compliance recipients if required by law, to protect rights/safety, or as part of a business transfer.

Referral fees. If you engage a participating provider/professional we introduced, they may pay us a standard referral fee after move-in or engagement. Partner status does not affect which options we recommend.
